Questions about examinations

What is the Examination Board?

The Examination Board is a council that supervises the compliance with the Examination Regulations. All deviations from the Examination Regulations need to be approved by the Examination Board.

The Examination Board consists of several teachers and one student member. All members of the Examination Board are bound to secrecy.

If you want to file a request to the Examination Board, please use the following document as an orientation:
Antrag an den PrüfungsausschussThe application must be submitted to the Office for Study Affairs at least 2 weeks before an event (e.g. an examination) occurs.

How do I register for an examination?

By registering for the modules at the beginning of each semester, you are automatically registered for the corresponding exams.
Only if you deregister from the whole module in time, you also deregister from the corresponding exam.
In case you cannot take the exam on the first attempt due to health issues (for more details refer to How do I deregister from an examination? ) or fail the exam, you are automatically registered for the retake of the exam.
In case you need to sit a second retake of the exam which would be the final try, please be aware that this is only possible after having filed a request to the Examination Board which must always refer to the next possible date of examination. Thus, file your request in time.

How do I deregister from an examination?

After having participated throughout the entire module, a deregistration from the examination is usually not possible.
If you cannot take the exam due to health issues, you need to hand in the form  Formular zur Prüfungsunfähigkeit (exam disability certificate). The document needs to be filled in and signed by your doctor, and be handed in to the examination management. Since only the Examination Board and not a doctor can decide about an exam disability, a simple sick note is insufficient. After approval by the Examination Board, you are automatically registered for the next examination date. Further information can be found here: Why do I need an exam disability certificate?.
Should other study related reasons (e.g. field work, laboratory work, another exam at the same time) make it impossible for you the take the exam, please file a request to the Examination Board. Please enclose documents to your request that prove that you cannot take the exam at this particular date. You will receive a written note about the Examination Board’s decision. On approval you are automatically registered for the next examination date.

Should you fail your exam at first try, you will automatically be registered for the earliest possible retake. The Examination Regulations state that the retest can be taken within one year. In case you do not want to sit the second try in the same semester as the failed first try, please send an email to the examination management no later than one week before the examination date to cancel the registration. You will automatically be registered for the earliest possible examination date in the following year.
This regulation is not valid for students who did not attend the first examination due to health issues or other approval by the Examination Board.
Please be aware: If you deregistered from the retake in time you cannot change your mind and take the examination. If you do so, the result will not be graded.

How do I get a medical certificate from a public health officer and when do I need one?

A medical certificate from a public health officer is issued at the public health department Leipzig. If the Examination Board requests a medical certificate from a public health officer, you have to make an appointment at the public health department until 8 am on examination date by phone. You should meet the public health officer between 8 am and 3 pm the same day when you do not have a severe disease. This needs to be clarified during the initial call.

To get the certificate you need the following documents:

  • Incapacity certificate by your doctor or hospital report with diagnosis
  • ID with your address in Leipzig or registration certificate

To receive the medical certificate from the public health department, you need to pay 30 €, preferably paid by ec card.

Students from the B.Sc. Psychologie or M.Sc. Psychologie always need a medical certificate from the public health department when they are ill for the retest.

For students from the B.Sc. and M.Sc. Biologie, Biochemie, BEE and lectureship it usually is enough to hand in the filled in form about examination disability. In individual cases the Examination Board can decide that only a medical certificate from the public health department is accepted.

Why do I need an exam disability certificate?

Doctors are not authorised to decide about someone’s disability to take an exam. This can only be done by the institution that is responsible for the exam. At our faculty, this is the Examination Board. The evaluation if someone is not able to take an exam is based on symptoms of a disease. It is the student’s decision to restrict the doctor’s release of confidentiality to certain symptoms.  To name the disease is neither required nor requested at any point.
The form Formular zur Prüfungsunfähigkeit (exam disability certificate) follows all standards in terms of data protection law, and is supervised by the data protection officer of Saxony. Furthermore, the legal conformity was evaluated by the legal adviser’s department of Leipzig University and reaffirmed judicially.
Similar forms are used at the Faculty of Justice and the Faculty of Economics as well as many other German universities.
Only the staff of the Office for Study Affairs and the chairperson of the Examination Board can access the handed in forms. All data are subject to confidentiality and will never be transmitted to other persons or institutions.

Publication of examination results

After the exam was graded, the examiners enter the results in AlmaWeb and students can see them in their AlmaWeb-Account at Studium Meine Prüfungen.
More information can be found in the Anleitung für Studierende (handbook for students).
Please be aware that the above given procedure can vary for exams in modules from other faculties.

Questions about module registration and deregistration

Module registration

The registration for modules is possible during a specific period of time. The exact time frame is available on the website of the Office for Study Affairs from February (summer semester) or July (winter semester). At the Faculty of Life Sciences module registration is conducted online via TOOL. Please be aware that registering in TOOL is only possible when you have successfully re-registered for your studies.

In your studies includes both elective and obligatory modules. The registration for the electives happens in two steps. You select the elective modules and prioritise them. After the online registration has closed, places are allocated by us. At the beginning of the confirmation time frame, you can see in TOOL to what modules you were allocated (status = “allocated”). After that you need to confirm the modules within the given time frame. To do this you change the status from “allocated” to “confirmed” and save your action by pressing “update”. Only after the conformation you are registered for both module and exam.
For obligatory modules, you only need to register. After that the registration is complete.
Changing modules after the confirmation period has ended is possible until 31st October (winter semester) or 30th April (summer semester) and only when there are places left. Alterations after that are not possible.

Attending a module or class without registration and confirmation via TOOL does not entitle you to take the exam.

Module de-registration

By de-registering from a module, you automatically de-register from all corresponding lectures and exams. De-registration follows the Study regulations. For psychology, the de-registration is possible until four weeks before the end of lecture time. For all biosciences, de-registration is possible until 15.11. (winter semester) or 15.5. (summer semester). After that a de-registration is not possible.
Details on when to de-register in Tool and when in AlmaWeb can be found in the document “Module Registration Information” that is uploaded on the Office for Study Affairs’ News board prior the module registration.
When you de-register from a module, all performances and achievements will be deleted. The module is treated as if you never registered. Should you register for the module again at a later point, all performances or prerequisites need to be worked through again.
